Job Summary:
The Payroll Specialist is responsible for all aspects of payroll processing and administration. This includes ensuring the accurate and timely processing of payroll, maintaining payroll records, and ensuring compliance with all applicable regulations. The ideal candidate will have strong attention to detail, excellent organizational skills, and the ability to handle sensitive information with discretion.
Key Responsibilities:
Payroll Processing:
Process bi-weekly or monthly payroll for all employees, ensuring accuracy and compliance with company policies and legal requirements.
Calculate wages, benefits, tax deductions, and other withholdings.
Prepare and distribute payroll checks or direct deposit statements.
Record Keeping:
Maintain accurate payroll records, including employee information, payroll registers, and tax documentation.
Ensure all payroll transactions are properly documented and filed.
Compliance:
Stay up-to-date with federal, state, and local payroll laws and regulations.
Ensure compliance with all applicable laws regarding wage and hour regulations, tax filings, and reporting requirements.
Reporting:
Prepare and submit required payroll reports, such as quarterly tax filings, year-end W-2s, and other payroll-related documents.
Generate reports for management as needed, including payroll summaries, tax liabilities, and benefit contributions.
Employee Support:
Address and resolve employee inquiries regarding payroll, deductions, and discrepancies.
Provide support and guidance to employees on payroll-related matters.
System Management:
Manage and update payroll software and systems to ensure accurate processing and reporting.
Work with HR and IT departments to integrate and maintain payroll systems.
Auditing and Reconciliation:
Conduct regular audits of payroll procedures and records to ensure accuracy and compliance.
Reconcile payroll accounts and resolve any discrepancies.
Qualifications:
Education:
Bachelors degree in Accounting, Finance, Human Resources, or a related field preferred.
Experience:
Minimum of 3-5 years of experience in payroll processing and administration.
Proficiency with payroll software (e.G., ADP, Paychex, Workday) and Microsoft Office Suite (particularly Excel).
