Position Summary:
Generally, performs single-function tasks that tend to be of small to moderate size and scope. Works under moderate supervision with limited latitude for independent judgment. Consults with senior peers on non-complex projects to learn through experience. Experience preferred but not required.
What you will be doing:
As an Administrative Assistant, you will act as the Primary Front Desk Receptionist and will be responsible for the following:
Act as a coordinator and assist with booking meetings on the Executive floors.
Backup to two receptionists who have high visibility to the Executive team.
You will also assist visitors with any questions or concerns.
Perform daily building audits and reports issues that need immediate attention.
Perform related administrative clerical work such as creating documents, spreadsheets, etc.
May use company intranet, or other computer-based systems.
Additional duties may include filing, sorting, mail distribution and completing special clerical projects.
Follow organization and department procedures to complete tasks in a timely manner.
May maintain files on correspondence, reports and other records by inserting new documents and disposing of outdated material.
Other related duties assigned as needed.
A fully on-site role. Must be able to commute to our Jacksonville site.
What you bring:
Ability to confidently communication with Executive level staff
Knowledge of general office operations and procedures and use of office equipment and associated software required by job.
Prior experience with Microsoft Products (Word and Excel);
a plus if you have PowerPoint.
Ability to maintain confidentiality of verbal and written information, process mail, and take phone calls.
Skill in classifying and assembling file materials, organizing and completing distribution of materials in a timely manner.
Ability to complete assignments, ask questions on assignments and escalate issues when needed.
Problem solving and effective communications skills as well as ability to establish and maintain effective working relationships with employees, clients and public
