Job Description
Coordinate and provide administrative support for the veterinary student externship program and campus recruitment team in general with the ultimate goal of converting students to career opportunity candidates:
Scheduling Externs:
As the coordinator, you’ll be responsible for managing the externship outreach, applications and schedule. This involves coordinating with the Campus Recruiting Specialists event schedule, veterinary and technician students, and the Alliance Animal Health central supportteam. You’ll need to ensure that externs are assigned to appropriate hospitals based on their interests and learning objectives.
Application and Scheduling:
When new externs apply, you’ll conduct screening interviews. This includes introducing them to the various hospitals in the network and helping match their interests to our practices. You’ll also provide an overview of their responsibilities, expectations, and the learning opportunities available during their externship and coordinate externship paperwork and scheduling with the hospital of their choice.
Communication Hub:
You’ll serve as the central point of contact for externs and the talent acquisition team. Regular communication is essential to all parties and we document all student interaction in our ATS, SmartRecruiters. You’ll address any questions, concerns, or issues they may have and work hard to ensure a great student experience with us.
Feedback and Evaluation:
Throughout the externship, you’ll collect feedback from both externs and supervising veterinarians. This feedback will help assess the program’s effectiveness and identify areas of opportunity. You'll also work closely with the recruiting team to facilitate introductions with an ultimate goal of converting students to potential hires.
Documentation and Records:
Maintain accurate records related to externship activities and required paperwork. This includes tracking hours, collecting paperwork and completing school paperwork, and recording all interactions in SmartRecruiters for transparency. These records are valuable for future program enhancements and for demonstrating the impact of the externship or converting students into candidates over the years.
Externship Network Outreach &
Post Campus Event Outreach:
This role will regularly communicate with students following events or externships to keep them informed of externship opportunities, career opportunities and more!
Collaboration:
Work closely with other Alliance Animal Healthteam members and partner hospitals, including veterinarians, recruiters, and university faculty. You will need to collaborate to enhance the overall externship experience and align it with organizational goals.
