Townsend Heery is seeking a Project Administrative Specialistto support our client.
As a Project Administrator, you will play a critical role in ensuring the smooth execution of projects within an organization. Your responsibilities will encompass various administrative tasks, financial management, and coordination efforts.
Responsibilities:
Process and manage project-related invoices, ensuring accuracy and timely submission.
Collaborate with the finance team to reconcile project accounts and maintain financial records.
Maintain project files, contracts, and relevant documentation.
Ensure compliance with organizational policies and procedures.
Facilitate communication among project team members, stakeholders, and external partners.
Liaise with vendors and subcontractors as needed.
Liaison between Project Managers and Purchasing Department for clarifications, procedures, tracking and expediting procurements.
General use and preparing documents for approval through AdobeSign.
Maintain documentation with client’s EDMS and physical library.
Maintain IT equipment and security training tracking list.
Relay/Remind/Coordinate Vehicle Maintenance with staff.
