Monday-Thursday 10:
00 AM-5:
30 PM
7:
30AM-12:
30 PM Fridays by appointment only- not more than once per month

General Description of Position:
Patient Care Coordinator is responsible for greeting patients,
Scheduling appointments, obtaining insurance information, presenting treatment plans, patient billing
And collecting copays. This “attention to detail” position also provides in depth support for all insurance
Related duties of the office. This position is responsible for the coordination and processing of insurance
Payments, verifications, coordination of benefits, and ongoing communications with insurance carriers.
Major Areas of Responsibility:
● Greet patients and update personal and/or insurance information
● Check patients out after their appointment, including accurately scheduling follow-up
Appointments, estimating &
collecting copays, presenting treatment plans and filing insurance
Claims
● Acquire and verify insurance information from patients and insurance companies
● Answering phone calls including scheduling appointments and other patient communication
● Communicate and correspond efficiently and accurately with other dentists and specialists
● Patient billing, account resolution and collections
● Insurance claim and pre-authorization submissions and follow-up
● Processing insurance payments and Coordination of Benefits
● Reports directly to the Treatment Manager and Owners
Specific Responsibilities of the Job:
● Proper phone etiquette with a positive, upbeat attitude (Smile in your voice);
Answer on the first

● Establish a friendly, trusting relationship to help ensure a positive patient experience
● Schedule patients according to guidelines including “filling holes” in the schedule
● Assist with coordinating patient flow to ensure patients are seen in a timely manner
● Efficiently obtain and accurately enter insurance information including obtaining benefit
Breakdown from the insurance company and Coordination of Benefits
● Ability to explain treatment, present treatment plans and review financial arrangements
Including estimating insurance coverage
● Maintain accurate, complete patient accounts including scanning in information as needed
● Reinforce treatment plans to patients when scheduling and reviewing financial arrangements
● Process all insurance filing for dental/medical claims accurately and efficiently including
Follow-up as necessary
● Responsible for insurance verifications and accurate communications to staff and patients
Regarding the insurance coverage
● Coordinates and process payments from insurance carriers and troubleshoots any issues related
To these payments.
● Serves as a liaison between insurance carriers, staff and patients to resolve any concerns and
Maintain a positive working relationship.
● Ensures all insurance related duties are completed in a timely and accurate manner to ensure
Excellent patient relations and financial success for the Practice.
● Utilize Patient communication software to maintain timely communication with patients
● Perform beginning and end of day procedures accurately and efficiently
Required Knowledge, Skills and Abilities
● Knowledge of Practice Management software, Patient communication, Imaging and Microsoft Office software
● Extensive knowledge of dental terminology and procedures
● Ability to handle multiple tasks with ease with good time management, efficiency and accuracy
● Ability to maintain effective communication with all team members and a professional, upbeat
Demeanor
● Interpret and understand dental insurance and be able to explain coverage to patients
● Maintain scheduled work hours;
be punctual and flexible to accommodate team members’
Vacations, emergencies, etc.
● Maintain OSHA and safety standards
● Ability to maintain confidentiality as per HIPAA guidelines
● Complete any continuing education as needed or requested
● Minimum Environmental Expectations often requires exposure to:
O loud noises that do not require ear plugs
O hazardous materials involved in a dental practice, including bloodborne pathogens
O radioactive materials used for X-rays
● Minimum Physical Expectations includes physical activity that sometimes:
O involves keyboarding, sitting, phone work and filing
O requires working on a computer
O requires lifting under 25 pounds and standing
O requires bending, stooping, reaching and/or twisting
Requirements
Previous experience in customer service with preference given to those working in dental or the healthcare fields.
