Job Summary:
The Office Manager is responsible for overseeing the daily operations of the office, ensuring a productive and efficient work environment. This role involves managing administrative tasks, handling accounts payable and receivable, performing bank reconciliations, and processing payroll. The ideal candidate will be highly organized, detail-oriented, and possess strong leadership skills.
Key Responsibilities:
Office Management:
Oversee the day-to-day operations of the office, ensuring a smooth and efficient workflow.
Manage office supplies and equipment, ensuring they are well-stocked and maintained.
Coordinate office maintenance and repairs as needed.
Implement and maintain office policies and procedures.
Supervise administrative staff and delegate tasks as necessary.
Accounts Payable:
Review, verify, and process vendor invoices for payment, ensuring accuracy and compliance with company policies.
Prepare and execute payment runs, including checks, ACH transfers, and wire transfers.
Reconcile vendor statements and resolve any discrepancies promptly.
Maintain organized and accurate records of all accounts payable transactions.
Accounts Receivable:
Generate and send out invoices to clients and customers.
Track incoming payments and follow up on overdue accounts.
Reconcile accounts receivable ledger to ensure all payments are accounted for and properly posted.
Maintain accurate and organized records of all accounts receivable transactions.
Bank Reconciliations:
Perform monthly bank reconciliations to ensure the accuracy of financial records.
Identify and resolve any discrepancies between bank statements and company records.
Maintain detailed and accurate records of all reconciliations.
Payroll Processing:
Prepare and process payroll for all employees, ensuring accuracy and compliance with company policies and regulations.
Maintain payroll records, including timesheets, tax forms, and deductions.
Address and resolve any payroll-related issues or discrepancies.
Financial Reporting:
Assist with the preparation of financial reports, including balance sheets, income statements, and cash flow statements.
Provide support during audits by providing necessary documentation and explanations.
Administrative Support:
Manage incoming and outgoing mail and correspondence.
Schedule and coordinate meetings, appointments, and travel arrangements for staff.
Provide administrative support to senior management as needed.
Qualifications:
Education:
High school diploma or equivalent required. Associates or bachelors degree in business administration, accounting, finance, or a related field preferred.
Experience:
Proven experience as an Office Manager or in a similar administrative role. Experience with accounts payable, accounts receivable, bank reconciliations, and payroll processing is essential.
