The Marketing &
Brokerage Services Coordinator position will focus equally on Brokerage tasks and Marketing tasks all while supporting the transaction professionals in the following capacities:
Marketing Coordination Responsibilities:
Steward and be a liaison between brokers and marketing.
Collaborate with internal resources to support the creation and maintenance of marketing materials and the distribution of e-blasts.
Track, collate, and maintaininventory of marketing materials.
Coordinate with internal resources to support pitch and proposal coordination.
Help organize and collect information needed for proposals, pitches, and presentations.
Manage leasing signage, e-blast calendar, and tour book compilation while also acting as a liaison for the marketing team when coordinating new assignments, pitching new business, and creating collateral.
Help coordinate client/broker/team events.
Work with marketing to maintain Stream’s brand and consistency in reviewing and creating outgoing marketing materials including flyers, proposals, tour books, maps, floor plans, and other sale materials.
Brokerage Coordination Responsibilities:
Serve as point of contact for client requests and relationship management.
Coordinate appointments with internal and external clients and arrange any other accommodations that may be required.
Collect and prepare information for client activity reports.
Maintain and enter new leads and opportunities into the CRM system.
Support day-to-day administrative functions such as travel and expense management, marketing, pipeline management, report preparation, and related activities.
Respond to general inquiries and provide information as needed, while maintaining confidentiality in all communication.
Maintain current information on tenants, market availability, and leases.
Assistwith administrative support, market surveys, and competitive property reports.
Compile property data for clients including property surveys, summary reports, maps, and status updates for assignments.
Prepare and collect all deal-related documents and follow up with all parties on the execution as required.
Assist in the collecting of materials necessary for transactions such as listing agreements, commission agreements, leases, and sales agreements.
Coordinate on/off-site meetings. May schedule appointments, keep calendars and arrange travel itineraries and meeting room reservations.
Update and maintain various information databases. Generate standard and ad hoc reports as required and assist with website updates (as needed).
Gather supporting documentation to complete voucher forms and process brokers' commission payments while abiding by company accounting policies as well as local and national laws.
