Legal Assistant (Full-Time or Part-Time Opportunity is Available)
Job Summary:
Represent Andrew Law Offices in a professional manner as the first point of client contact. Provide outstanding customer service via phone, computer, when they arrive for their appointment/meeting. Assist Andrew Law Offices with preparation of documents and other administrative tasks as needed while working independently. Prepare and send invoices to clients, make weekly deposits, and communicate with accounting regarding receivables and other financial information.
Primary Duties and Responsibilities:
Reception - Phone and Walk-In Customers
Greet all clients personally and on the phone in a courteous and professional manner
Make appointments and manage client calendar
Maintain high level of customer service by being proactive in communication with clients
Make an initial evaluation as to the appropriateness of the client and communicate details of our representation accordingly
Maintain safe, clean and welcoming reception and lobby areas
Sort and direct incoming mail, packages and faxes
Run daily errands, may include deliveries and pickups from customers, courthouse, post office, etc.
Monitor office supplies, equipment and other materials, place order(s) for replenishment as needed
Prepare accounts payable for accounting
Invoicing, Deposits, and Accounts Receivables
On a monthly basis, edit and prepare invoices and send invoices to clients
Make a weekly deposit including reconciling all client balances and reporting deposits to accounting
Prepare monthly accounts receivables for accounting
Preparation of Legal Documents
Transcribe dictated estate planning, real estate, probate, family and other misc. legal documents
Draft or willingness to learn how to draft basic legal documents with little or no direction
Consistent attention to detail including preparing documents with few to no errors is extremely important
Process and Efficiency
Create processes using client centered software for efficiency
Punctuality
Finalize work product in a timely manner according to custom or direction received
Additional Responsibilities:
Perform other duties as assigned
Qualifications/Education/Credentials:
Bachelors degree preferred
Experience with legal documents and/or a professional office is preferred
Ability to work in an accurate, detail-oriented and highly productive manner with minimal or no errors
Strong communication skills written, verbal, interpersonal
Strong problem solving capability and analytical ability
Deadline driven, results-oriented with initiative and a sense of urgency

Use logical reasoning to arrive at solutions to work-related issues
Maintain self-control under workload pressures without exhibiting negative behavior
Establish and maintain effective working relationships by using appropriate interpersonal skills
Demonstrate ability to get along with diverse personalities in a tactful, mature, and flexible manner
Computer proficiency with Microsoft Office applications
Notary within six months of hire date

Equipment operation:
Multi-line phone system, working knowledge of computers and software programs, typewriter, fax, filing system and copy machine

Special Factors:
Work Schedule, as position requires
Travel as necessary for training purposes (est. 10%);
may include car travel and overnight stays
