Job Summary:
We are seeking a highly organized and proactive Executive Assistant to support the senior leadership team at our prestigious law firm. The ideal candidate will possess excellent communication skills, a keen attention to detail, and the ability to manage multiple priorities in a fast-paced environment. This role is crucial in ensuring the smooth operation of the executive office, providing comprehensive administrative support, and acting as a liaison between the executive team and internal/external stakeholders.
Key Responsibilities:
Administrative Support:
Manage and maintain executives schedules, including appointments, meetings, and travel arrangements.
Prepare and edit correspondence, communications, presentations, and other documents.
Coordinate and facilitate meetings, including agenda preparation, minute-taking, and follow-up on action items.
Handle incoming and outgoing communications on behalf of the executive team, ensuring timely and accurate responses.
Project Management:
Assist with the planning and execution of special projects and events.
Monitor and report on project progress, providing updates to the executive team.
Coordinate with various departments to ensure project deadlines are met.
Client and Stakeholder Relations:
Serve as the primary point of contact for internal and external stakeholders.
Handle confidential and sensitive information with discretion.
Facilitate communication between the executive team and clients, partners, and other stakeholders.
Financial Administration:
Assist with budget preparation and expense tracking.
Process invoices, expense reports, and reimbursements.
Liaise with the finance department to ensure accurate financial record-keeping.
Qualifications:
Bachelors degree in Business Administration, Law, or a related field preferred.
Minimum of 2 years of experience as an executive assistant, preferably in a law firm or legal environment.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with legal software.
Exceptional organizational and time-management skills.
Strong written and verbal communication skills.
Ability to handle confidential information with integrity and professionalism.
Proven ability to work independently and as part of a team.
High level of attention to detail and accuracy.
Flexibility to adapt to changing priorities and deadlines.
Preferred Skills:
Knowledge of legal terminology and processes.
Experience with project management software.
Proficiency in other languages.
