Position Description:
The Correspondence Specialist is responsible for opening all received mail and depositing all insurance and patient payments received via mail to the bank. Processes medical record requests’ and assists in coordinating incoming and outgoing correspondence for the RCO.
Hours:
20 hours/week
Pay Range:
$17-19/hour
Essential Functions:
· The Correspondence Specialist opens, and sorts all received mail on a daily basis.
· Deposits insurance and patient payments with the use of a remote scanner to the bank.
· Processes medical record requests from third party vendors via fax or mail, documents patient’s accounts accordingly.
· Scans insurance medical record requests received for outsourced vendor processing via a follow up dashboard queue in Raintree EMR system.
· Scans Authorization approvals to patient’s chart, tasks authorization team for notification.
· Scans insurance denial and claim notification correspondence to shared drive for outsourced vendor processing.
· Ensures checks and corresponding explanation of benefits are scanned to shared drive for payment posting team processing.
· Responsible for itemizing all batch totals each day and reporting cash deposit totals to department heads.
· Coordinates incoming and outgoing mail to insurance carriers, patients, providers, etc.
· Behaves in a manner consistent with Professional’s mission, vision, and values.
· Attends training classes as required and completes assigned training courses
· Maintains working knowledge of HIPAA, OSHA, Risk Management, and Compliance regulations.
· Practices confidentiality and privacy protocols in accordance with Company policies and all applicable laws and regulations.
· Other duties as assigned by the Manager and Assistant Director, Revenue Cycle Operations.
Requirements
Qualifications:
· Must have excellent communication and interpersonal skills.
· Good time management and organizational skills are required.
· Working knowledge of Microsoft Office (Word, Outlook, and Excel) are required.

Working Conditions:
· The Correspondence Specialist typically works in an office environment.
· May be required to spend long amounts of time sitting down.
