Job Description
The California Payroll Specialist will work for Publicis Re:
Sources payroll shared services and support payroll processing for assigned Agencies under the Publicis Groupe umbrella. Publicis Groupe is a multinational advertising and public relations holding company. One of the oldest and largest marketing and communications companies in the world, providing digital and traditional advertising, media services and marketing services.
Key Responsibilities:
Payroll Processing:
Calculate, audit, prepare and submit assigned payrolls for approximately 1,200 employees accurately and timely, in accordance with established payroll deadlines, policies and internal shared service level agreements. This includes calculating wages, garnishments, adjustments, and deductions (including benefits), and special payments. Experience with time tracking, particularly ADP eTime is highly preferred.
Compliance:
Possess and maintain strong understanding and application of California labor laws, tax regulations, and reporting requirements to ensure payroll compliance with appropriate tax jurisdictions based on work and resident state. Ensure compliance with internal company policies and state/federal regulations. Prepare and submit payroll tax filings, including quarterly and annual reports, tax levies, in accordance with state and federal regulations. Participate in internal and external audits.
Recordkeeping:
Maintain accurate payroll records and ensure confidentiality and security of payroll data.
Customer Service:
Serve as primary point of contact and California payroll subject matter expert. Collaborate with internal business partners, management, and external vendors to ensure best in class payroll shared services delivery and positive employee pay experiences. Research, resolve and respond timely, thoroughly, and accurately to inquiries concerning general and complex payroll inquiries, including and tax withholding questions. Provide prompt and courteous assistance to address employee concerns via excellent verbal and written communication.
Payroll Reporting:
Generate and analyze payroll data and reports to track expenses, reconcile discrepancies, and ensure accuracy. Prepare ad hoc reports as requested. Knowledge and experience processing prior quarter adjustments, a must.
Process Improvement:
Identify opportunities for process improvements in payroll administration, such as streamlining procedures, implementing automation tools, or enhancing reporting capabilities.
