The Office Manager is an essential role to the organization’s success and to the success of our administrative staff. The office Manager manages the day-to-day operations of the main office and ensures that all employees have what they need to be successful. Duties include but are not limited to ensuring a positive work environment for all staff members and/or personnel, handling office supply requests, supply orders/ordering, scheduling, managing internal systems to include phones, printers and more based on the company’s needs.
Job Duties:
Use organizational skills to organize and facilitate office operations
Handle Client/Customer inquiries and address their needs.
Communicate with Staff and manage scheduling of intakes or admissions.
Prioritize emails, schedule meetings, gather documentation for the preparation of internal or external meetings.
Coordinate the workflow of office operations, while also coordinating information between departments.
Manage the office phone system, printers, and postage meter.
Coordinate with the collection of documentation for personnel files as needed.
Assist in onboarding new employees.
Implement and train departments to work with EMR system (KIPU) to enhance operations and workflow. Create departmental user guides or KIPU when necessary.
Create, update, or standardize documents that follow policy and procedures as needed by staff to increase productivity and value.
Oversee office supply orders and inventory.
Create documents such as spreadsheets and reports.
Work in tandem with the Director of Operations for internal systems, ordering, and supply needs.
Assist in the organization of company social events.
Ensures Calusa functions in a legal and ethical manner, to ensure the company is meeting business goals.
Organize files, fix errors within the files, and ensure documents are properly placed in the correct folders and uploaded in a timely manner.
CEO/CFO/VP &
Director of Operations.
Bachelor’s Degree from a four-year college or university;
or two years related experience, training or equivalent;
combination of education and experience.
