Job summary:
To inspire and prepare each and every scholar with the confidence, courage and competence to achieve their dreams;

and engage in a lifetime of learning by providing specialized clerical and technical duties related to the assignment or placement, as well as related responsibilities requiring creative solutions to specialized site/department needs. Answer correspondence and assemble highly confidential and sensitive information. Interact with a diverse group of external customers as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, organize and carry out a diversified workload, and make recommendations for changes in office practices or procedures.Provide in-depth support to the high school Activities' Coordinator.Major emphasis is placed on the organization and coordination of the internal clerical functions of the Activities' Office and game day operations.
Responsibilities and tasks include:
Delivering customer service that embodies the District mission.
Assisting site/department leaders with communications.
Communicating and coordinating services with internal and external vendors to ensure adequate service to our school system.
Provide clerical support to the Activities' Officeand coaches/advisorsin the form of typing, filing, duplication of materials, answering phones, scanning/retrieving information, creating/maintaining spreadsheets and/or databases,etc.
Greet visitors and answer questions/concerns for the school to include functioning as a liaison between the Activities' Officeand coaches/advisors, management staff, students, parents and the general public.
Assisting site/Activities' Coordinator with communications.
Ordering supplies and tracking inventory.
Maintain a high level of organization of general files for easy, accessible access and report generation.
Processing monetary deposits and/or refunds as needed.
Preparing and maintaining records.
Arranging transportation.
Providing work direction for game day operations.
Attending meetings and recording meeting minutes as requested.
Maintaining a safe environment for students.
Supervising students after school.
Facilitating communication between site/department staff to alert about emergency situations.
Other duties as assigned.
Minimum qualifications include:
High school diploma or GED.
Preferred qualifications:
Prior related secretarial/clerical work experience desired.
Prior customer service and Microsoft Office experience required.
Proficiency managing various budgets.
Experience in an education setting preferred.
Knowledge, skills, and abilities include:
Understanding of data entry concepts.
Knowledge of spreadsheet and database management software and word processing skills.
Fundamentals of general office and general administrative procedures and operational requirements.
Understanding of office equipment and typical productivity software, databases or customized systems/applications.
Knowledge of basic record retention, record/file/database maintenance requirements.
Understanding of data privacy requirements, confidentiality, laws and rules as it pertains to job assignments.
