The Administrative Assistant provides a wide variety of essential administrative support and clerical support to facilitate the efficient operation of the 1911 Office, LLC, a single-family office based in Keene, NH. Core responsibilities will include but not be limited to:
Providing clerical services including scanning, photocopying, faxing, and mailing.
Coordinating filing system according to approved 1911 Office procedures to maintain the current electronic and hard copies in a timely, efficient manner. Ensuring files are up-to-date and clearly and consistently marked for easy access.
Scheduling and coordinating meetings and appointments, including sending calendar invitations and setting up Zoom links.
Preparing and modifying documents including correspondence, reports, drafts, memos, and e-mails as requested.
Conducting research, compiling data, and preparing paperwork to support projects as needed.
Picking up and dropping off mail at post office;
opening, sorting, and distributing mail.
Monitoring office supply inventory and ordering office supplies.
Attending meetings and recording meeting minutes.
Supervisory Responsibilities:
This position currently has no supervisory responsibilities.
Work Environment:
This position is performed inside, in a temperature-controlled environment, with noise limited to that of a typical office environment.
Physical Demands:
This position requires sitting or standing, and occasional bending and lifting of up to 10 lbs.
Status:
This is a full-time, non-exempt position and is eligible for overtime. Salary is set at an annual amount and paid in substantially equal installments on a monthly basis in accordance with 1911 Office’s standard payroll practices for salaried employees.
Expected Hours of Work:
Typical hours are Monday through Friday 9 a.M. to 5 p.M., although there is substantial flexibility in the exact hours, and all employees currently work from home on Fridays.Every once in awhile a meeting may occur outside of regular office hours.
Travel:
This position may require some infrequent travel.

Qualifications, Skills and Knowledge Required:
Strong organizational skills with excellent attention to detail and accuracy.
Highly knowledgeable about best practices for administrative procedures and systems such as filing and record-keeping.
Excellent interpersonal skills;

Excellent computer skills and knowledge of relevant software, such as Google Workspace.

Benefits
Compensation:
Starting salary range is $50,000 to $60,000 per year, commensurate with experience.
