00 pm. Flexibility in the work schedule is expected due to the nature of working in a start-up environment. Candidates should have the flexibility to work after hours and on the occasional weekend, as needed. The schedule will be adjusted to accommodate after-hours assignments.
SUMMARY
Reporting to the Director of Operations, the Attendance &
PEIMS Specialist servesas a key member of the School Leadership Team, ensuring that the campus meets high standards of organizational, operational, and customer service excellence, enabling instructional leaders and staff to focus on driving strong student achievement outcomes. As an Academy of Visual and Performing Arts Attendance/PEIMS Specialist, your core responsibilities, at a minimum, include:
School Operations Leadership
Works cooperatively with the Director of Operations and Finance, Assistant Principal - Culture and Special Populations Coordinator to collect all relevant data from staff in a timely manner.
Manages school attendance process and maintains attendance records
Partners with students, staff, and parents to ensure students attend school every day
Participates in the weekly attendance check-in meeting with increasing responsibilities over time
Attendance, Student Information System, Enrollment
Assist with check-in/check-out of students during the school day.
Documents all attendance changes, corrects attendance data and completes audits as needed
Under direct supervision, perform data entry including attendance, PEIMS data, and grades.
Student Records
Manages requests for student records
Enters and audits immunization and health documentation into the SIS and auditing these entries
Reviews critical health alerts for students and ensures the coding is in the SIS
Enters student schedules once developed
Prints progress reports and report cards
Processes documentation for student enrollment and maintains all lottery records
Verifies students are fully enrolled and makes any data corrections in registration packets and the SIS
Collects any required documents for students to enroll
Sets up, manages, and audits student folders
Accepts transfer requests from families and coordinates process with other schools
Handles external student document requests
Tracks leaver information and ensures that withdrawal meetings are held
Prepares transcripts and provides proof of enrollment
Communication
Call parents to verify student absences as needed.
Communicates attendance reporting to staff and indicates when a student is at risk
Professional Learning
Receive PEIMS-related information from TEA and disseminate it to other staff and personnel in a timely manner, including Student Attendance Accounting Handbook and updates to PEIMS Data Standards.
Trains teachers on attendance procedures and inputs the data into the Student Information System (SIS)
Compliance and Reporting
Maintains accurate student data and information in compliance with federal, state, and school expectations
Corrects student data issues in the SIS and completes Public Education Information Management System (PEIMS) reporting
Assist with the collection, integration, and formatting of all data required for timely, accurate PEIMS submissions and the reporting of special education funding codes to TEA and other agencies.
Abide by all policies established by federal and state law that apply to charter schools, Commissioner’s Rules that apply to charter schools, and local charter policy.
Comply with policies established by federal and state law, State Board of Education rules, and local board policy and procedures.
Perform other duties as assigned.
Requirements
First and foremost, the Attendance &
PEIMS Specialist must have an unwavering commitment to the Academy of Visual and Performing Arts’ mission and willingness to go above and beyond to meet the needs of AVPA students, families, and staff. Additionally, for this position, we’re looking for candidates that possess a combination of the following skills:
High School Diploma or GED required;
Associates degree preferred.
2 yrs. office/clerical experience (PEIMS exp. preferred)
Knowledge of Texas Education Agency Student Attendance Accounting System (preferred)
Strong project and time management skills;
ability to effectively backward plan, juggle multiple priorities with great attention to, detail, and deliver consistent and timely results
Ability to lead, influence, and hold others accountable to high standards of operational excellence
Strong learning orientation and desire to work in a fast-paced, dynamic work environment
Successful criminal background check required

The salary for this role is $32,500-$37,500 annually. AVPA is committed to internal pay equity throughout our organization.
